This Privacy Policy explains how BridgeGap Media LTD, trading as BridgeWeddings (“we”, “us”, “our”), collects, uses, stores and protects personal information when you visit www.bridgeweddings.co.uk (the “Website”), enquire about our wedding photography and videography services, enter our promotions, or otherwise contact us, including via Facebook, Instagram or WhatsApp.
We are committed to protecting your privacy and handling your data in an open and transparent manner, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

For the purposes of UK GDPR, BridgeGap Media LTD is the data controller of the personal information described in this policy. We are in the process of registering with the Information Commissioner’s Office (ICO); our registration reference will be added here once confirmed.
2. Information we collect
We collect the following categories of personal information:
2.1 Information you give us directly
- Contact details: name, email address, phone number.
- Wedding details: wedding or event date, venue, location, guest numbers, and any preferences or requirements you share with us.
- Enquiry and consultation content: messages sent via our website enquiry form, email, phone calls, WhatsApp, or during consultations.
- Marketing preferences: whether you have opted in to receive offers, newsletters, or promotional communications.
- Payment and booking information: booking dates, package selected, invoicing details (payment card details are processed by our payment provider and are not stored by us).
- Photographs and video: images and footage captured as part of our services, which may include you, your family and guests.
2.2 Information we collect automatically or via third parties
- Facebook and Instagram lead forms: if you respond to one of our adverts using a Facebook or Instagram “Instant Form”, Meta shares the information you submit (typically name, email and phone number) with us.
- WhatsApp messages: if you message us or reply to us on WhatsApp, we receive your phone number and the content of your messages, including automated conversational replies used to help book consultations.
- Website usage data: we use Google Tag Manager and associated analytics/advertising tools, which may set cookies and collect information such as your IP address, browser type, device information, pages visited, and referral source. See Section 7 (Cookies) below.
- Prize draw entries: if you enter a promotional prize draw (for example, our free pre-wedding/engagement shoot draw), we collect the entry details needed to run the draw and contact winners fairly.
3. How we use your information
- To respond to enquiries and provide quotes for our photography and videography services.
- To manage bookings, consultations, contracts and the delivery of services you have booked.
- To administer prize draws and promotional offers, including selecting and contacting winners and applying any associated discount.
- To manage our customer relationship management system (GoHighLevel), including automated follow-up messages and appointment scheduling.
- To send marketing communications about our services, offers and availability, where you have consented to receive these (you can opt out at any time).
- To improve our website, services and advertising, including analysing which adverts and content perform well.
- To comply with our legal and accounting obligations.
- To protect the security of our business, clients and website.
4. Our legal basis for processing
- Consent — for marketing communications, entry into prize draws, and non-essential cookies. You may withdraw consent at any time.
- Contract — to respond to enquiries, provide quotes, and fulfil a booking or contract with you.
- Legitimate interests — to operate and improve our business, respond to enquiries efficiently, and run targeted advertising, in each case balanced against your rights and interests.
- Legal obligation — to meet accounting, tax and other regulatory requirements.
5. How we share your information
We do not sell your personal information. We share information with trusted third parties who help us run our business, including:
- GoHighLevel (our CRM and marketing automation platform), which stores enquiry, booking and communication data and manages WhatsApp messaging and automated follow-ups.
- Meta Platforms, Inc. (Facebook and Instagram), when you submit a lead form on our adverts, and for advertising and analytics purposes on our Facebook and Instagram pages.
- WhatsApp (Meta), for messaging you if you contact us or opt in to WhatsApp communication.
- Email and communication service providers used to send booking confirmations and marketing communications.
- Payment processors, for handling deposits and payments.
- Professional advisers (e.g. accountants) and IT support providers, where necessary.
- Law enforcement or regulators, where we are required to do so by law.
Some of these providers (including Meta and GoHighLevel) may process data outside the UK, including in the United States. Where this happens, we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or Standard Contractual Clauses, or reliance on an adequacy decision.
6. Marketing and prize draws
If you opt in to receive marketing from us, we may contact you by email, phone or WhatsApp about our services, offers and availability. You can unsubscribe or opt out at any time by using the “unsubscribe” link in our emails, replying “STOP”, or contacting us directly using the details in Section 11.
Where we run a prize draw or giveaway (for example, a free pre-wedding/engagement shoot draw), separate terms and conditions will apply and will make clear that entry does not guarantee a prize. We will only use your entry details to run the draw, contact winners, and, where you have separately consented, to follow up about our services.
7. Cookies and similar technologies
Our website uses Google Tag Manager, which may be used to deploy analytics and advertising cookies (such as Google Analytics and the Meta/Facebook Pixel). These cookies help us understand how visitors use our site and measure the performance of our advertising.
Cookies we may use include:
- Strictly necessary cookies — required for the website to function correctly.
- Analytics cookies — help us understand how visitors interact with our website.
- Advertising/tracking cookies — used by Meta and other advertising partners to measure and improve ad performance, and to show you relevant adverts.
You can control or delete cookies through your browser settings at any time. Blocking some cookies may affect how the website functions.
8. Data retention
We keep personal information only for as long as necessary for the purposes set out in this policy, including to fulfil bookings, meet legal and accounting requirements, and manage any ongoing marketing relationship. As a general guide:
- Enquiry and consultation data for prospective clients who do not book: retained for 24 months from last contact, then deleted or anonymised, unless you ask us to remove it sooner.
- Booked client data, contracts and invoices: retained for 7 years to meet accounting and legal obligations.
- Marketing consent records: retained until you withdraw consent or after 24 months of inactivity, whichever is sooner.
- Photographs and video from bookings: retained in line with our contractual terms with clients.
9. Data security
We take appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, misuse or alteration, including access controls, secure platforms for storing client and booking data, and limiting access to personal information to team members who need it to do their job.
10. Your rights
Under UK GDPR, you have the right to:
- Access the personal information we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete your information, in certain circumstances.
- Ask us to restrict how we use your information.
- Object to our use of your information, including for direct marketing.
- Request a copy of your information in a portable format.
- Withdraw consent at any time, where we rely on consent.

11. Children
Our services are intended for adults planning weddings and similar events. We do not knowingly collect personal information from children. Where photography or video captures images of children (for example, guests at a wedding), this is done with the consent of the parent, guardian or client who has booked our services.
12. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The “last updated” date at the top of this page shows when it was last revised. We encourage you to review this page periodically.
